Executive Assistant to Managing Partner in Amherst Law Firm
$45 - $55k
Monday - Friday 8:30am - 5pm


Roles and Responsibilities:
  • Maintains calendar for MP
  • Makes travel arrangements for MP
  • Assists in smooth running of law firm
  • Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for MP
  • Receives incoming communication and memoranda on behalf of MP, reviews contents, determines importance, reports to MP
  • Performs office tasks including maintaining records and overseeing IT and attorney recruiting functions
  • Helps onboard and train new staff members, including attorneys and support staff
  • Some word processing and editing, including work on legal documents and pleadings
  • Proposes creative solutions to office needs, including continuous systems improvement
  • Nurtures relationships with the Bar Association of Erie County, other professional service providers/referral sources (e.g., accounting firms, financial advisors, insurance agents, collegial law firms), professional associations, law schools, and others
  • Fields client and prospect calls
  • Assists MP in preparation for meetings and presentations
  • Interacts with and services clients
  • Evaluates workplace policies to ensure they comply with law firm core values
  • Identifies and vets vendors including marketing, website hosting and development, professional networking, holiday and other social event venues
  • Occasionally arranges travel and accommodations for MP
  • Coordinates and manage special projects and initiatives as assigned
  • Assists in the organization and execution of firm events and meetings
  • Tracks deadlines and ensure timely completion of tasks
  • Covers reception desk as needed, on occasions when office services coordinator is unavailable
  • Legal duties may be incorporated after appropriate training

Job Requirements

  • Enthusiastic, highly motivated self-starter with a strong work ethic and intense focus on results

  • Well-organized, detail-oriented, and ability to multi-task with above-average follow-up skills
  • Strong written and verbal communication skills
  • Experienced in managing multiple priorities, including ability to function well in a high-paced and, at times, stressful environment
  • Proactive problem-solver
  • Proficient in Microsoft Office
  • Bachelor`s degree or equivalent experience
  • Legal experience preferred, but not required
  • May very infrequently require working outside regular business hours to meet deadlines
